HR Shared Services Representative Position Summary:

The HR Shared Services Representative is a critical and foundational role to the HR organization.  Our HR Shared Services Representative will be responsible for applying business knowledge and human resources expertise. They will assist in providing a wide range of HR support and advice. This role will facilitate a virtual, high touch associate experience for those seeking assistance from HR. This role will heavily utilize mySwagelok (SuccessFactors) and a case management system to respond to associate inquiries through various communication methods and fulfill a positive experience with the business for HR related requests. 

Essential Duties & Responsibilities:

  • Facilitate a People First experience as the first line of contact for our associates needing assistance from HR via phone or electronically. 
  • Resolve or escalate tier 1 associate inquires related to benefits, compensation, talent management, policy interpretation, HR technology, or other HR related topics.
  • Fulfill associate requests related to HR administration, such as employment verification letters, employment claims, etc.
  • Conduct regular data audits of associate data with mySwagelok (SuccessFactors) and the case management system.
  • Manage leadership expectations and requests without compromising process standards
  • Prepare and deliver training to supervisors and HRBPs regarding the ARC processes and their specific roles
  • Develop/update standard work and process documentation
  • Write knowledge articles that will support associates to have immediate access to relevant information.


Education and/or Work Experience Requirements



  • High School Diploma or equivalent.
  • 1+ years professional office experience



  • Experience in HR Shared Services or HR Administration
  • Call center experience or case managment experience desired
  • Knowledge and experience in HR systems such as Successfactors, Service Now, Kronos, other applicable HR systems is a plus.
  • Strong attention to detail
  • Ability to multi-task and operate effectively in a fast-paced environment
  • Able to prioritize and handle a heavy and varied workload
  • Ability to manage within a changing environment with a high level of resilience
  • Ability to work within a high-volume customer service atmosphere.
  • Must have excellent oral and written communications skills with the ability to interact effectively with internal customers.
