Position Summary:
Oversees all aspects of the technology purchasing function.
- Plans and coordinates information technology related equipment installations, moves, additions, and changes.
- Plans, organizes, and coordinates all IS  technology purchasing efforts such as request for purchase, placing orders, tracking orders, and reconciling invoices..
- Ensures proper approval has been obtained for equipment purchases. Obtains and evaluates quotes from vendors. Expedites orders when appropriate, issues purchasing orders to vendors, checks incoming shipments/paperwork and inputs information into tracking databases.
- Verifies statements from vendors are correct and insures that all statements are processed for payment.
- Meets with vendors on regular basis to obtain information on updated equipment and prices. Researches updated equipment and pricing for individual managers as needed. Tracks asset costs. Tracks return of computer equipment from the field. Establishes and maintains system for moving assets as they are distributed.

Essential Duties & Responsibilities:

• Manages the overall purchasing processes for I.T. related purchases.
• Administer enterprise asset management and auto-inventory systems
• Act as liaisons to Swagelok Finance and provide support to the finance department in areas of asset information
• Procure IS-related hardware and software for the Organization
• Schedule hardware staging and work with Systems Management (Field Techs) for installation
• Maintain physical inventory of all IS assets, i.e., CPU’s, Monitors, Bar Coding equipment, software, etc.
• Participate in the implementation of asset management systems for all technical assets
• Administer Service Level Agreements for IS purchases, installations and servicing
• Maintain and manage vendor and software license information and updates
• Participate in vendor service management negotiation, budget preparation, invoice processing and purchase order preparation
• Perform ad-hoc queries to enterprise asset environment to generate advanced asset tracking reports, asset reconciliation reports and migration planning
• Develop close working relationship with IS Customer Service and IS Operations team to ensure adoption and adherence to Asset Management policies, practices and processes.
• Interact and negotiate with external suppliers/customers in establishing vendor relationships and developing contractual agreements.


Education and/or Work Experience Requirements:

• 3+ years of administration experience including monitoring and troubleshooting an Asset Management environment
• 2+ years of experience of service level agreements and vendor maintenance.
• Strong experience with Microsoft Office : Word, Excel, Access, etc
• Accounting skills (depreciation, procurement, etc.),


Preferred :
• Tool knowledge of Help Desk (e.g., CA).
• SAP PR and PO processes


Working Conditions and/or Physical Requirements:
• Physical requirements associated with normal office working environment.
• Ability to operate standard office equipment.
• Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
