Swagelok Job Posting Description

Position Summary:

Assistance in the administration of HR processes, procedures, and systems.  Our HR Administrative Assistant provides valuable support and works collaboratively with our Operations Group, Facility Management and HR in a variety of areas including operations, recruiting/onboarding, payroll, terminations. 

 

Essential Duties & Responsibilities:

  • Provide consistent application of Swagelok benefits communication - be a resource for associates & a subject matter expert. Handle “everyday” benefit questions. Follow-up with associates if additional documentation is required
  • Open requisitions and ensure accurate data input in ATS, schedule interviews, assist with temporary staffing administration, assist in the preparation and delivering of job offers.  Process new hire paperwork (orientation checklists, payroll/benefits forms, etc.)
  • Verify and complete system updates (Kronos/SuccessFactors)
  • Communicate all new hire information via email to appropriate parties 
  • Coordinate relevant onboarding activities for new hires
  • Ensure that terminations are communicated and processed in a timely manner (within 24 hours)
  • Accurate filing of associate data and following record retention guidelines
  • Update service Anniversary Boards on a quarterly basis 
  • Coordinate Brown Bag Lunches coordinate schedules, dates, times, rooms, and facilitating the ordering of lunches. Serves as the note taker in the absence of the HRG and type up notes for HRG
  • Coordinate wellness initiatives- flu shots, annual onsite wellness screenings & any other wellness initiatives
  • Assist with coordination of annual events at the site level summer event registration, benefits open enrollment and holiday lunches
  • Partner with Production Supervisors to ensure timely submittal & accuracy of weekly & bi-weekly payroll
  • Providing weekly headcount report to ensure validity of information
     

Required Education and/or Work Experience Requirements:

  • High School Diploma or Equivalent
  • 3+ Years of HR Administrative or Coordinator experience
  • Possess HR process/policy knowledge to answer complex HR questions from associates
  • Effective verbal and written communication skills.
  • Excellent computer and typing skills, and advanced Microsoft Office skillset (MS Word, Excel, PowerPoint).
  • Ability to work independently, manage time effectively and multi-task is required.
